II. Summary

Welcome to the Region of Luv.

 

We have had an exciting month in July with the kick-off of our first Regional Community Service Drive, Fisher House/Ronald McDonald House and our Membership, Recruitment and Retention Drive.  I am looking forward to seeing a spirit of service to the outside Community and a spirit of helping our fellow members grow and learn continue within the Region.  I feel that this vital to our continued success as a Region and as an Organization.  I also feel that it is the duty of any Regional Coordinator to work on the continued development and improvement of the Region.  No matter how hard we work, strive and improve, there will always be room for growth because we as people, as a group and friends, change.  In this vein, I have been asking for input, holding meeting and increasing some of the reporting requirements.  These changes are things I have spoken with my staff about and vetted through them and in some cases a small random sample population of the Domain Coordinators.  While some of these changes may seem off-the-wall or unnecessary in your mind, I challenge you to try them, work with me; yet do not feel obligated to hold your constructive criticisms.  I want to hear those words.  If you have your own ideas on how to improve the Region, please do not hesitate to contact myself or my staff with these ideas so we can see their feasibility to implement them.  We have a large task list and are working through it as fast as possible to ensure that a good quality product is given to our Region.  If you have a chance, check out the quality products that have been produced in the past with our New Member Guide.

 

In closing, please realize that I am endeavoring to make this Awesome Region even better and that struggle can be a difficult road, but I am hoping that you, as members of this Region, will help me, because at the end of the day, this is YOUR Region, YOUR Game and YOUR Organization.  Take ownership, take responsibility and help me make this the Best Damn Region Ever.

– polled DCs and arranged DC/RC meeting over IRC for 7/28/09

– announced RC IRC office hours to region for 8/4/09

– create a spreadsheet of the current DCs and ARCs of the region for ARC staff

– posted Prestige SOP to regional website

– work with Jer to set some standards/processes for the region

– act as a second pair of eyes/second brain on things sent to Jer to help ensure we don’t forget things and most problems/loopholes are taken into account before launching an idea

SUMMARY

-Assisted with Austin’s first Featured Game of the Month – it was a short preparation, but with intimate assistance and enthusiastic domain officers, it was a smashing success.

-Received July FGotM Report from Austin DC Robert Martinez July 29, 2009

-Forwarded FGotM Prestige Report to Jeremy for review, to be sent off to ARC Prestige

-Gained access to the ARC Services mailbox – started cleaning and labeling e-mails for better organization.

-Looked up information on past charities for ARC Prestige officers for some housecleaning tasks.

-Developed a cleaned-up FGotM bid template and reporting templates.

-Tracked and logged Regional Charity Donations: Ronald McDonald and Fischer House donations.

-Followed up with Beaumont, San Antonio/San Marcos and Killeen to start their research for upcoming featured games.

-Sent Prestige Rewards Charities to ARC Prestige

NOTES

– Wow, I knew I was getting into a hefty job when I took on this role, but I seriously had no idea. It was great (and embarrassing) to re-meet Jer at the Austin FG, and if this first game was any indication, we’re going to have a rocking two years, guys.

– I had 3500+ e-mails to go through when I got this mailbox, and I’m down to 470. I’m almost done labeling all the mails, and then we can move on to whatever new big project we want me to do!

– Featured Game in Dallas in September? Whee!

– I’m totally serious about having a South Central Officer party at ICC. I’ll bring the whipped cream!

– Speaking of ICC, I’m Volunteer lead, and I only have one volunteer from our region right now. =( This needs to be fixed pronto.

SC ARC Newsletter Report – July 2009

 

SUMMARY

Another marvelous month! I love my staff, I love this region!

 

We added two new folks to our list:  Aaron Cox has joined us with a comic strip of epic proportions debuting next month.

 

Jeff Perryman, a displaced SCR Cammie has agreed to help out with a few artsy type things.

 

QUESTION & ANSWERS

Can I get a HELL YEAH! For Trisha? That girl gets my newsletter on the site the minute I send it to her!

 

This is to the ARC staff: Do you have things that you want the region to know in another form other than emails? If so, send them to me and I will get them into the newsletter.

 

 PROJECTS

Have already started bombarding the region with emails begging for stuff! They love to hate me for bombing their inboxes! ; )

**I want to get childhood pictures of each of the RC and possibly the ST staff and put them in the newsletter in a “yearbook” format with no names. Later in the newsletter I will put who is who.

 

I thought it would be fun and it will spread some “LUV” to show that our staff, while hardnosed on the rules can have a great time otherwise!

– Begin working on upgrading recruiting package, putting together some basic posters for domains to use.

– Member ship drive is up and running, will continue to push that.

– Begin working on a players guide – something to help people new to the cam with the ins and outs of the game.

 

Membership Drive:  I’ve only had one new member e-mail me letting me know they’ve been mentored.  I will be sending out a reminder e-mail to DC’s to try to find out where they are in recruiting and what I can do to help.

I had an old expired Temporary Membership that he assisted me in turning into a current Paid Membership.  He also assisted me in navigating the database and CRD, and explained the application process for the approval of various character items.  He accompanied me to games, took me to social gatherings at Howell Herrin’s house in order to meet other Camarilla Members and make IC character background ties.  He also assisted me in making a character and writing a background story.  This took place over several session, well over 4 sessions of assistance, and well over 4 hours spent assisting me.

NOTES

– The month started out well, but I’ve had a lot of health problems culminating in surgery and made all the better with my grandma being sick.  Sigh.  Things are getting better, but I’m STILL trying to recover from my surgery.  My husband is also looking at the possibility of a job, so we may be moving in the next month or so.  I am planning on spending lots of time this coming weekend getting all caught up.

Questions: How do you stay motivated when there is no interest locally to join the cam?

 

Answer: Remember that you are marketing a valuable product.  It provides a good experience and a chance to release as well as socialize with people in your area.  Talk with April Douglas, my Marketing and Outreach ARC and get her aid in developing a marketing strategy for your area.  Remember to CC myself and Jess Fazio when you contact her so we can perhaps give some input as you  develop that strategy.  Keep up the work and good luck.

Questions: Wow.  I have a real question this time.  🙂

Do ADSTs get prestige for attending domain meetings?  The FAQ (http://camarilla.white-wolf.com/usnc/faq.php?id=67) says the following: Domain Meeting: DC, DST, CCs, ADCs, plus VSTs under the current Handbook only (prior to that, a VST was just an ADST with a different title).  It says ADCs don’t get prestige…. but it says nothing about ADSTs.  I’m not sure why that is…. I would think that the answer is no, but the rules really don’t say.

 

Answer: The do indeed receive prestige for attendance at meetings.  I had a similar thought and it was clarified that this was not an accidental oversight as I first suspected.

 

Suggestions: Free meals and massages at ICC!

 

Answer:  I would like to have a Regional Meeting.  Now it wouldn’t be free, but since you didn’t ask for free massages, just massages, we will find someone to give you a massage and you can pick up dinner.

Problems:  The CRD is not properly allowing me to claim new Temporary members into the Domain.  The persons end up being put into different Regions (at least with one of them).  Also – we do not have the DST and VSTassigned as officers in the CRD as the DST has been unable to get a response from the RST (Weston Harper).  I will be attempting to contact the RST myself later this month if it is not fixed soon.

 

Response: Continue to monitor your members to ensure that they are placed in the proper domain and the Regional Coordinator staff will continue to support you as you need players moved.  Please put in a bug report in Mantis to get better technical guidance.  As for the Staff Responsibilities that should be assigned; please contact the RST and his staff now rather than waiting.

Comments: We had two and a half domain meetings this month.  One was very quick, one was very long and productive, and one was called due to funnel clouds.  Wacky Texas weather aside, we’ve got some great plans in the works for recruiting, as well as some ideas on how to bring old members back into the game.Mike Munene requested an MC 5 audit.  I sent it back once again for some reorganization and am hopeful that the next one will be the one to pass muster.Next month’s project: Helping newer members build their very first prestige log.

IV. Projects

Regional Prestige Search Database:

 

The Regional Prestige Search Engine is well underway and I am looking forward to having it completed.  It well serve a well-deserved purpose and will pair well with other enchancements.

 

Prestige Approvals Database:

 

We have an excellent team working on this coding project and I am looking forward to doing some of the test trials so we can work to streamline the prestige process and eventually make it a much smoother process to submit, approve and audit prestige.

 

Prestige Guide:

 

Look for work to begin and complete shortly on the Prestige Guide.  This is a necessary resource to help educate our membership on the “pay” of the Camarilla.

 

FGotM:

 

We have selected the location for the FGotM for September and I am very excited to see the announcement posted by that organizing body.  We will not be having a FG for the months of August and October as no bids were submitted.  Expect the announcement calling for bids for November shortly.

 

Community Service Project:

 

July and August mark a period of service to aid the Fisher House and Ronald McDonald House.  These two were chosen to provide as many opportunities for participation to members as possible.  While two separate charities were named, this is a single community service event, thus subject to the prestige cap guidelines for a single event.

 

Recruitment, Retaining, and Mentoring Member Drive:

 

Community building is a necessary function of helping to build a strong Region.  The stronger our local domains; the stronger our Region will grow.  While recruiting a member is a definite positive; we want to include them in our communities and make them feel welcome.
