II. Summary

**********************************************************************

I apologize for the late report this month. I overestimated the amount of free-time I’d have available during the reporting period. I went on Leave, Heather and I finally got to go on our Honeymoon, then I had to fly back to my post, and it took longer to get settled back in than anticipated. Nevertheless, here is the report, and I’ll try to make sure it doesn’t happen again.

At the beginning of July, I asked our members to ask themselves “If I was RC…..” The goal was to know what concerns members of the region had, what they’d like to see changed, and what causes they’d like me to push forward. Well, in almost two months, I’ve gotten one response. That’s a little disappointing, but I plan to pursue those suggestions, and to continue having an “Open Door” policy to feedback and suggestions at any time.

There have been a lot of requests for backdated prestige recently. Prestige awards, especially if they are more than 6 months old, will be judged on a case by case basis by National. I’m compiling all of the current requests, and hope to have a decision for the next RC report.

In regards to SCARE, the National Conventions Administrator is in talks with the hotels from the various bids. There are many things we can’t begin planning for until that is finalized. She has promised to let us know as soon as something is finalized so we can jump in with a flurry of activity.

I’m going to make a concerted effort to build an RC FAQ on the regional website. Right now I think this will mostly be How-To’s and answers to questions in the RC report. If you have any ideas, please let us know.

I recently instituted a change on how officer prestige is being awarded in the SCR. This is to bring us back to the way it is supposed to be done according to the Handbook

To help keep tabs on current events, I ask that anyone contacting the Regional Coordinator Staff, CC me on the email.   This helps to ensure that action items are being handled by the appropriate staff member, and helps me know what’s going on across the Region.

If you have any Questions, Problems, or Concerns that have not been addressed by Regional yet, please contact us! When an issue does arise, please contact us right away, and make sure it’s included in your local report later, if we haven’t resolved it by then.

-Harley Cox

 ———————

SUMMARY

Admin: – started the Enid DC election – proctors chosen; applications due by the 21st.

Education/Outreach:– Welcomed Mike Rose as the new DC of Fayetteville, AR.- E-mailed Erica Martinez asking for help to edit the “new member” packet that she created when she was ARC – she has agreed to help!  we are forming a plan of attack…. and brainstorming new ideas.- E-mailed SC Coords to ask that they notify me when new members join so that we can welcome them.

– E-mailed the “recruiting ideas” PDF to the Killeen DC in hopes of helping with recruiting.

QUESTION & ANSWERS

Admin:– none at the moment. Education/Outreach:– none at the moment

PROJECTS

Admin:– Finish the Enid DC election- Visiting other Oklahoma domains and other domains in the region  Education/Outreach:– Edit the New Member packet

– Create a more “step-by-step” or in-depth guide for recruiting- Create more fun “quick reference” guides for the SC Region (officers, new members and general members) to use.

– Possible Kits/Guides to make: ST officer kit, Player kit, ARC Education kit (for next ARC)

– AFTER the kits, I’d like to hopefully move forward on Erica’s idea of online classes – something interactive that can be offered online to help get the information out there.

UPCOMING EVENTS

– no events.

PRESTIGE AWARDS

– prestige for Enid proctors will be awarded when election is complete

– prestige for Erica will be award as work begins and the packet is edited.

NOTES

– I’m focusing on making materials available for new DCs and new members.  I’d like to eventually expand that with information for players in general, STs, and regional officers.- I’m also trying to go to more FGotMs and other “local” events. It’s been a while since I’ve been in the public eye as far as the region is concerned… I want to get my face and name out there so that people know who I am and feel comfortable coming to me for help.  I think “being known” is step one for the “open door” policy… so that’s what I am working on.

SUMMARY

This month I haven’t been able to do much because of the move and some health issues, but I have been working with the W. Texas domains advising the DC’s of San Antonio, Austin, Odessa, Ft. Worth, and Dallas on various issues that their domains are facing.

A handful of domains have contacted me for corrections on the MC Cards. Due to most of my belongings being packed away in storage, I have begun typing the corrections and I hope to mail out new cards in Early September. Some DC’s have really been helpful and added the “new MC advancements” to their reports. This makes my job a million times easier! THANK YOU! In the future I would like to see this section added to all DC Reports.

I still need to get out the MC Cards for Killeen, NOLA, and Tulsa. Again, this should be done before the next report is due out.

This month I have had many prestige reviews to do and I would like to apologize to everyone who has waited so patiently. With the move, health issues, and me being on some heavy duty medication, it really hasn’t been feasible for me to do this, but now that things are settling down and I have more regular internet access other than my blackberry, I will be working on these on a daily basis.

As always, if you (or your domain) are having any prestige issues, let me know. I worked with several members who were stripped prestige on regional and national audits due to insufficient information. I helped them to add the information back in after their lock so that it will pass for their next lock/audit.

I try to be available to all W. Texas members, so if you need anything feel free to drop me an email or catch me on gchat. The best Gchat addy to get me is Bekkah.hackett@gmail.com. This is my new married name email address, so please update it in your records!

CHARITIES

SUMMARY

The Regional Charity drive for July and August has had a mixed bag of success.  Where it has been popular, it has been very popular.  Where it has been slow, it has been nonexistent.  I have to say that the members of the San Antonio and Austin domains have really put their support into the drive.

As with anything, there always seem to be left-over’s and stragglers from previous months and drives.  Clean-up continues.  I will be putting out two charity reminders in the next two days. 1) All call for clean-up and research on missing prestige. 2) Reminder of current charity drive.

******************************************************************************************************III. Questions & Answers ******************************************************************************************************Eternal Midnight, OK-010-D, Oklahoma City, OK , Jessica Fazio

Can I have a free personal masseuse?

I thought you had recently acquired a devilishly handsome Italian fellow for that purpose?

(Congratz!)

Civitas de Immortalis, TX-059, San Antonio, Texas, Rebecca Morgan

I did not get the full reporting from sts or coordinators or even members, that I hoped for (and needed) this month. I do not know if this is due to the change in st reporting or just lethargy in the domain. I will be sending out frequent reminders and trying to get more people reporting. (It’s not easy to get a report done when you don’t have all the info!)

There is going to be a period of transition while everyone gets used to the proper procedures for reporting. Continue to be patient, try speaking to them one-on-one to answer any questions they may have. And remember as a DC, you can backdate prestige up to three months back.

No Witnesses, TX-065, Austin, TX, Robert Martinez, US2003122686

I’m fairly certain my report for June came across on the 7th. Is that considered late now?

Midnight on the 7th is still considered “On Time.” I go by the email headers in the cam.scrc@gmail.com email account. I think sometimes what happens is a report is sent on time, and between having to be processed by the cammail server and the gmail servers, by the time it hits my account, the timestamp shows it as late.

For example, for the report in question, I show:

———- Forwarded message ———-From: Robert Martinez Date: Tue, Jul 8, 2008 at 5:39 AMSubject: [Us-sc-reports] TX-065-D 06/2008, No Witnesses Status Report

If this doesn’t match what you have, and results in a “Late” report status, simply forward me a copy of your report, with a similar header showing the correct time, and I’ll put a correction in the next report. Unfortunately this happens fairly frequently, especially when reports are filed at the last minute.
